Common questions regarding event security
A formal security concept in accordance with Section 43 VStättVO is required by law for meeting places with more than 5,000 visitors — or if the type of event requires it. In practice, however, a professional safety assessment is recommended even for significantly smaller events. Factors such as venue, target group, public accessibility and risk potential are often more relevant than the mere number of visitors. Authorities can also demand a concept for smaller events if they see an increased risk.
A professional security concept is not a standard document, but event-specific planning. It defines responsibilities and decision-making processes, contains a risk analysis with an assessment of the specific risk scenarios and, based on this, defines structural, technical and organizational measures — from access controls and flow of people to communication structures and evacuation plans. It is crucial that the concept does not stay in a drawer, but is implemented operationally and known to all parties involved.
As soon as possible. Security is not a module that you add retrospectively to event planning — it must be considered from the start. Early involvement also makes sense, especially for events that require approval, because official coordination requires time. As a guide: For major events, authorities recommend a lead time of at least three months. For complex formats or international events, correspondingly more.
A security service fulfils an important but clearly limited function — such as admission checks or seat assignments. Professional event security goes much further. It starts with a risk analysis, includes the development of a safety concept, coordination with authorities and emergency services, operational management on site and the ability to react to unforeseen situations. It is not just about presence, but also about the ability to act. These structural conditions are then also reflected in communication and public image. The staff at the entrance is often the first thing your visitors and guests see and is therefore a figurehead for your event and company.
It depends on the task. In principle, commercial security personnel in Germany must have the minimum qualification of 40 hours Evidence from the Chamber of Industry and Commerce or the expert examination in accordance with § 34AgEwO. Additional training such as evacuation workers, fire protection assistants and first aid is particularly helpful here. In addition, we train our staff in de-escalation training in conflict management and tactical emergency medicine.
Basically yes – but with restrictions. The quality of a safety operation is directly related to the preparation time. Professional structures can be set up for standardized formats within a few days. More advance notice is required for more complex events involving regulatory coordination, specific risk situations or an international context. Through our KIT (Crisis Intervention Team), we are able to provide operational teams across Europe, even under time pressure — within 24 hours.
A central one. Police, fire departments and regulatory authorities are not opponents of the organizer, but necessary partners for safe implementation. A good security concept is developed in agreement with the competent authorities — not against them. This requires experience in dealing with regulatory requirements and the ability to communicate professionally on equal footing. For the organizer, this usually means less friction in the approval process and more planning security.
